Clinical Documentation - Supervisor Workflow

Supervisors can participate in clinical documentation. This article discusses the supervisor workflow for the three clinical documentation methods.

Mobile Notes

Workflow

  1. Supervisee starts the Mobile Note, selects a note template, and adds a supervisor. If the supervisee has permission "Cannot use Mobile Notes w/o Supervisor" and they have not selected a supervisor in Mobile Notes in the past, then they will be required to add a supervisor. If the supervisee does not have permission "Cannot use Mobile Notes w/o Supervisor" they can add a supervisor manually before starting the note by clicking "Select Supervisor" on the note Details screen, after starting the note by clicking "Participants" in the menu in the upper right hand corner of Mobile Notes, or after saving the note by clicking "Manage Supervisor" on the Unsigned Documents page.
  2. Supervisee fills out the note and clicks "Sign & Close" on the Review tab. At this point, the Document Status on Unsigned Documents will be "Signed.Pending" for the supervisee and "Final Signer" for the supervisor.
  3. Supervisor clicks "Preview" on Unsigned Documents page. If it looks ready to sign, they click "Sign" on the Unsigned Documents page and the document will be finalized and added to Patient Chart | Documents, and the process is complete. If it does not look ready to sign, see step 4. 
  4. Supervisor clicks "Edit" on Unsigned Documents page and views the note in Mobile Notes.
  5. If desired, the supervisor can edit the note directly. If the supervisor makes any changes to the note, the supervisee's signature will be removed and they'll have to sign again. When the supervisor is done making changes, they click "Save & Close" on the Review tab. If they make edits but do not leave Supervisor Feedback, the Document Status on Unsigned Documents will be "Ready to Sign" for the supervisee and the supervisor. 
  6. Alternatively, or in addition, the supervisor can leave Supervisor Feedback by clicking "Supervisor Feedback" in the menu in the upper righthand corner of Mobile Notes. This opens a panel where they can add comments for the supervisee to respond to. If the supervisor adds Supervisor Feedback to the note, the supervisee's signature will be removed and they'll have to sign again. When the supervisor is done leaving Supervisor Feedback, they click "Save & Close" on the Review tab. If they leave Supervisor Feedback, the Document Status on Unsigned Documents will be "Feedback Given" (instead of "Ready to Sign") for the supervisee and the supervisor.
  7. Supervisee clicks "Edit" on Unsigned Documents page and views the note, and Supervisor Feedback if it exists, in Mobile Notes. They make any additional changes and click "Sign & Close' on the Review tab. At this point, the Document Status on Unsigned Documents will be "Signed.Pending" for the supervisee and "Final Signer" for the supervisor.
  8. Return to Step 3.

Supervisor Feedback

Supervisor Feedback allows a supervisor on a Mobile Note to leave feedback about the note, which the supervisee can read and then make corrections. It's available on all supervised Mobile Notes.

To leave Supervisor Feedback, the supervisor clicks "Supervisor Feedback" in the menu in the upper righthand corner of Mobile Notes.

This opens a panel where the supervisor can type their feedback.

  • The supervisor can create, save, edit, delete, and close Supervisor Feedback, but the supervisee can only view and close Supervisor Feedback
  • Supervisor Feedback is automatically saved when the supervisor changes tabs in the Mobile Note. The supervisor can also manually save it with the "Save" button in the Supervisor Feedback panel.
  • Supervisor Feedback is deleted when the note is fully signed and finalized. Supervisor Feedback is not part of the note pdf or the Patient Chart, and cannot be accessed after the note is fully signed and finalized. The supervisor can also delete the Supervisor Feedback manually by clicking the "Delete" button in the Supervisor Feedback panel. Note that there is no need for the supervisor to manually Delete the Supervisor Feedback before signing, the deletion is handled automatically.
  • If Supervisor Feedback is added to a note after the supervisee signed the note, the supervisee's signature will be removed and the Document Status on Unsigned Documents page will be "Feedback Given" for the supervisor and the supervisee.
  • If Supervisor Feedback is added to a note, the Supervisor Feedback panel will automatically be open and visible when the supervisee re-opens the note.
