Shared Macros

Shared macros are macros that are available to all staff and providers in the practice that use editor macros. Users with the permission "Manage Shared Macros" can create, edit, and delete shared macros.

With this functionality, practices can create new shared macros. In addition, if one or more users have private macros that the practice would like all users to have access to, those private macros can be converted into shared macros; this can be done by giving the "Manage Shared Macros" permission to the user with the private macros, who then edits each private macro to change it into a shared macro.

Creating Shared Macros

Shared macros can be created in the same places that private macros can be created:

  • Click +New from Tools | Editor Macros
  • Click + on the editor bar in a Web Editor note
  • Click Create Macro above a text area in a Mobile Note

In the popup window, change the radio button at the bottom from "Private" to "Shared".

Users with the "Manage Shared Macros" permission can select "Shared" when creating a macro.

Editing Shared Macros

Shared macros can be edited in the same place that private macros can be edited:

  • Navigate to Tools | Editor Macros
  • Select row containing shared macro which opens the "Edit Macro" window
  • Make desired edits and click Save

Only users with the "Manage Shared Macros" permission can edit shared macros.

Deleting Shared Macros

Shared macros can be deleted in the same place that private macros can be deleted: on the Tools | Editor Macros page. Click on the row containing the shared macro to open the "Edit Macro" popup. Click the "Delete" button and then click "Yes" to confirm. When a shared macro is deleted, it is deleted for all users. Only users with the "Manage Shared Macros" permission can delete shared macros.

Using Shared Macros in Documentation

Shared macros can be used in the same places that private macros can be used: in a Web Editor note by selecting a macro from the "Select Macro" dropdown button in the editor bar; and in a Mobile Note by selecting a macro from the "Insert Macro" dropdown above a text area. In the dropdown control, the private and shared macros are separated by headers "Private Macros" and "Shared Macros". All users who can use macros can use their own private macros and all of the practice's shared macros.

Shared Macros and "Save to Provider's list"

Users with the permission "Manage Shared Macros" who also have the permission "Can Start Mobile Notes for Providers" can still check the "Save to Provider's list" checkbox when they are creating a private macro within Mobile Notes, but when they are creating a shared macro the option to "Save to Provider's list" will not be available.
