New Treatment Plan - Migrated Treatment Plans

When New Treatment Plan is enabled for a practice, the practice’s existing treatment plans will be migrated from the legacy treatment plan tool into new treatment plan. The goal is for providers to be able to pick up in the new treatment plan where they left off in the legacy treatment plan tool.

In general, migrated treatment plans should include the same data as in the legacy treatment plan tool but may have a slightly different look.  

Impact on Treatment Plan Status

Migrated treatment plans will be in the same status as they were in legacy treatment plan tool, but new treatment plan is more specific about Drafts

Impact of Treatment Plan Type Changes 

Most migrated treatment plans will not immediately be affected by any changes the practice made to the “Valant Treatment Plan” Treatment Plan Type. The rules for whether changes to the Treatment Plan Type affect an instance of a treatment plan are the same for migrated treatment plans as they are for treatment plans created directly in new treatment plan. Those rules are:  

  • Changes to a treatment plan’s Treatment Plan Type will not affect
    • “Active” treatment plans 
    • “Draft (New)”, “Draft (Update)”, and “Draft (Review)” treatment plans that already have one or more signatures 
  • Changes to a treatment plan’s Treatment Plan Type will only affect
    • “Draft (New)”, “Draft (Update)”, and “Draft (Review)” treatment plans that have no signatures 
    • Future “Draft (Update)”s and “Draft (Review)”s of existing treatment plans 
    • Brand new treatment plans 
  • Changes specifically to Review Cycles/Review Schedule in a Treatment Plan Type will not affect any existing treatment plans, and will only affect brand new treatment plans 

Based on the above, the only migrated treatment plans that will immediately be affected by changes to the “Valant Treatment Plan” Treatment Plan Type are “Draft (New)”, “Draft (Update)”, and “Draft (Review)” treatment plans that have no signatures at the time they are migrated. However, the changes will take effect for all other migrated treatment plans the next time they are Updated or Reviewed.

Impact on Scheduled Reviews 

After migration, check the scheduled reviews for treatment plans to be sure they are what you expect. Reviews were handled differently in legacy treatment plan tool versus new treatment plan. In legacy treatment plan tool, each checkbox represented a single instance of a review (e.g., at 90 days, at 180 days, etc); they were never recurring. In new treatment plan, reviews are recurring, according to the Review Cycle built into the plan. As part of the migration process, the system attempts to determine what the recurring Review Cycle for a treatment plan should be based on what is in the legacy treatment plan, but in some cases it won’t have enough information. Specifically: 

  • If a treatment plan in the legacy treatment plan tool contains one or more scheduled reviews that have not been completed yet, then in new treatment plan it will have one or more Review Cycles so these scheduled reviews appear and are recurring into the future. The number of days in the Review Cycle (e.g., "Then every X days") is calculated based on the actual scheduled dates in the legacy treatment plan. If the number of days in the Review Cycle isn't quite right (e.g., it's 89 instead of 90), you can edit the number or add an additional Review Cycle with the correct number.
  • If a treatment plan in the legacy treatment plan tool does not contain any scheduled reviews that have not been completed yet, then in new treatment plan it will not have a Review Cycle and so it will have no scheduled reviews. If new scheduled reviews need to be added, start an Update, go to the Reviews tab, and click “Add Review Cycle”.
